Record Keeping & Documentation

Purpose

Maintain organized, accurate, and confidential records that support children’s health and safety, strengthen communication with families, demonstrate Community Care Licensing compliance, and contribute to the successful operation of a Family Child Care business.

Accurate recordkeeping is an important component of operating a professional Family Child Care business. Well-organized records support children’s health and safety, provide important information during emergencies, strengthen family partnerships, and demonstrate compliance with Community Care Licensing requirements.

In addition to supporting licensing, organized documentation contributes to effective business operations. Maintaining current records allows important information to be readily available when needed, reduces administrative challenges, and provides documentation that supports informed decision-making.

Establishing consistent recordkeeping practices also demonstrates professionalism and reassures families that their children’s information is managed responsibly and confidentially.

Children’s Records

Each enrolled child should have a complete, current, and confidential file maintained in accordance with Community Care Licensing requirements.  Review children’s records regularly and update them whenever families provide new information.

Attendance Documentation

Accurate attendance records support active supervision, emergency preparedness, and Community Care Licensing compliance. Attendance should be documented as children arrive and depart each day and verified throughout daily routines, neighborhood walks, community outings, and emergency situations.

Attendance Documentation

Record Key Requirements & Best Practices Business Best Practice
Daily Attendance Record arrival and departure times for each child. Complete attendance in real time rather than at the end of the day.

Incident Documentation

Occasionally, unexpected situations occur during the child care day. Prompt, accurate documentation helps communicate with families, supports licensing requirements, and provides an objective record of events.

Documentation may include:

  • Injuries and accidents
  • Illnesses
  • Medication administration
  • Behavioral incidents
  • Emergency drills
  • Emergency responses
  • Required Community Care Licensing reports
  • Other significant events affecting children’s health or safety

Complete documentation as soon as practical following an incident while details remain accurate and readily available.

Confidentiality

Children’s records contain sensitive personal information and should always be handled with care.  Maintain confidentiality by:

  • Storing records securely.
  • Limiting access to authorized individuals.
  • Protecting confidential conversations.
  • Following Community Care Licensing record retention requirements.
  • Respecting the privacy of children and families.

Business Connection

Accurate recordkeeping supports children’s health and safety, strengthens communication with families, demonstrates Community Care Licensing compliance, and protects the Family Child Care business. Organized documentation also improves efficiency, supports sound business practices, and contributes to a professional program that families trust.
